How a new DAMS Software Upgrade is helping to Streamline Workflows at the Museum of Fine Arts, Houston

The Museum of Fine Arts, Houston needed to photograph and link 29,300 works on paper (part of a 64,000+ object collection) to its collection management system and online distributors, but their planned two-way integration between The Museum System (TMS) and a legacy DAMS kept breaking when the DAMS vendor changed its database/search structure. That risk threatened grant-driven workflows and forced the museum to find a replacement that would work smoothly with TMS; the museum evaluated options and considered Gallery Systems’ solutions during that search.

Gallery Systems’ TMS Media Studio was implemented to replace the separate DAMS, sharing a single database with TMS so image and object data are entered once and immediately available across systems. The change eliminated the need for a complex integration, reduced ongoing maintenance and integration costs, streamlined photography-request workflows, improved reporting (including cached image sizes for tombstone-plus-image reports), and increased staff access and security controls—delivering hours saved, easier workflows, and more powerful, museum-wide reporting.
