Oregon School Boards Association Uses RPA to Maintain Critical Policies

The Oregon School Boards Association (OSBA), a nonprofit serving more than 200 locally elected school boards in Oregon, faced a massive backlog: thousands of policy documents written in WordPerfect needed conversion to Microsoft Word via a two-step RFT process. Hiring temps didn’t keep pace, leaving the policy department struggling to meet demand and maintain consistency across districts.

OSBA implemented Automate RPA from HelpSystems, building a simple workflow in under a week and using the product’s Workflow & Task Library to accelerate deployment. The bot cleared the backlog in about six weeks, cut per-district conversion time from 40 hours to 20 minutes, can process 10–20 districts overnight, and produced reusable workflows that the organization can expand to other departments.
