National Parking Service Saves Time with Automated Document Management

National Parking Service was struggling with a decades-old document management system that forced staff to scan everything, created bottlenecks when scanners failed, and required manual rekeying of data because it didn’t integrate with IBM i or other business systems. Files stored on network drives were hard to find, HR requests arrived by email/fax and were processed manually, and vendor support for the legacy DMS was nonexistent—leaving the company with slow, error-prone processes.

They implemented HelpSystems’ Webdocs and will add Automate to handle workflows across the business. Webdocs centralizes documents, enables drag-and-drop capture, and integrates via RESTful APIs with IBM i and cloud systems so data is auto-populated rather than rekeyed; Automate will queue and split HR requests and extract data from complex PDFs. The solution was deployed quickly and at low cost, brought four departments online, eliminated much manual scanning and data entry, improved retrieval and security, and delivered measurable time savings and strong ROI.
