KSB Hospital Ensures Healthy Document and Image Management

Katherine Shaw Bethea (KSB) Hospital, an 80-bed acute-care system in Dixon, Illinois with multiple regional clinics, faced mounting costs and workflow problems from paper-based medical records and an earlier proprietary document management product that required expensive IBM i storage and heavy CPU use. The hospital needed a more flexible, cost-effective way to store, index and retrieve diverse documents and images while meeting strict privacy requirements.

KSB implemented HelpSystems’ Webdocs (IBM i backend with a Windows interface) to capture documents from scans, HL7 streams, transcription and other sources, auto-extract indexing fields, and store files on low‑cost SAN disks. The change reduced storage costs, freed physical filing space, improved HIPAA-compliant access logging and patient privacy, sped clinician access to records, and enabled broader use (including HR), currently adding about 70,000 documents per week and positioning the hospital for future health information exchange.
