Gemaire Group, a Deerfield, Florida–based HVAC distributor with 81 branches, 1,100 employees and rapid growth, was overwhelmed by the mounting volume of paper documents. Filing cabinets consumed space and employee time, retrieval processes were slow (and error-prone), and paper-based records posed SOX compliance and backup risks.

Gemaire implemented HelpSystems’ Webdocs with a prebuilt Mincron interface on its System i, scanning virtually all business documents and making them instantly retrievable from users’ desktops or laptops. The change eliminated bulky filing, sped month‑end audits from a day‑and‑a‑half to a few hours, reduced process errors, enabled normal data backups of documents, was implemented quickly (accounts payable up in five days), and required minimal ongoing maintenance.
