Augsburg College in Minneapolis admits about 3,000 students a year, 80% of whom receive financial aid, which generated roughly 20,000 paper documents annually for the financial aid office. Manual sorting, verification, data entry and filing by one manager and five work-study students made keeping up impossible—documents arrived by mail, fax or drop-off, were filed in tubs by last name, and finding a file could take 20 minutes to an hour.
By implementing HelpSystems’ Webdocs and document scanning, Augsburg began scanning and indexing all student paperwork, automating workflows and capturing student data electronically. The office now generates the Pre‑Award New Student Report in 10 minutes instead of four hours, is processing files about six months ahead of schedule, has reduced work-study staffing from five to two, and staff can find and respond to student records much faster.
