Memorial Hospital, a 186-bed facility in Fremont, Ohio, faced a sudden vendor change when its preprinted forms supplier shifted to larger accounts. Rather than simply replace the vendor, the hospital formed an Implementation Team to evaluate forms automation as a strategic alternative, defining about two dozen essential requirements—most importantly compatibility with its McKesson Paragon system—and goals around patient safety, staff efficiency, data integrity, document management, and cost savings.
After evaluating four vendors, Memorial implemented FormFast in late 2001 and rolled out the project in phases—first accounting (W-2s, direct deposit vouchers, payroll checks, 1099s, on-demand AP checks) and then registration and clinical areas. The hospital automated numerous chart, ER and admission forms, added distributed printing and a web-based document library for HR and clinical policies, and realized more than $40,000 in first-year savings; minor hardware issues and staff training needs were managed during the transition, and overall the project improved access, workflow and record management.
