How NHS Increased Workspace Flexibility to Meet Mobile Employee Needs

NHS Greater Glasgow & Clyde (NHSGGC) is Scotland’s largest health board, serving 1.2 million people with 38,000 employees across more than 35 hospitals. Faced with a growing demand for flexible, mobile working and the need to optimize leased space, leadership moved to re-evaluate traditional assigned desks and explore a desk‑sharing/hot‑desking approach supported by booking software.

NHSGGC implemented FM:Systems’ Hoteling & Mobile Workforce solution, piloted it, and rolled it out to 250+ agile staff, enabling desk reservations via web, mobile and Outlook with graphical floor plans to find colleagues and preferred seats. The rollout improved workspace flexibility, reduced required desk/space footprint, increased adoption through familiar calendaring integration, and provided utilization insights to inform future space decisions — with plans to expand the system to a new hospital featuring 130 hot desks.
