FlowForma Process Automation enabled a US non-profit to transform the way its workforce engages with clients using digital workflows

AcruxKC, a US non-profit in the Kansas City area that helps low‑income people access emergency dental care and prescriptions, was weighed down by excessive paperwork, manual email exchanges and an in‑person voucher pickup requirement that ate up staff time. With just nine employees and no IT team, Executive Director Beth Radtke sought an easy, no‑code solution and chose FlowForma Process Automation to digitalize client registration, voucher issuance and related administrative workflows.

FlowForma built templated digital workflows (Client Registration, Voucher Creation across five voucher types, and Invoice Payment with approvals and batch processing), integrated with AcruxKC’s finance system and provided a single document repository. As a result, FlowForma enabled AcruxKC to eliminate duplicate data entry and a telephone approval process, streamline payment steps, save staff time, improve reporting and boost staff and partner morale — while making voucher access easier for clients. FlowForma is now also being used to plan automated vendor onboarding and text reminders to address the ~20% of vouchers that currently go unredeemed.
