Abingdon & Witney College, a multi-site further-education provider serving 14,000 students across three main campuses and six satellite sites, faced fragmented, paper-based processes, poor visibility and governance, and no prospect of a full ERP to integrate Finance, HR and operations. To bridge that gap the College adopted FlowForma’s Process Automation tool to replicate commercial-style efficiencies within its Microsoft/SharePoint environment.

Using FlowForma, a business analyst and IT staff built eight no-code “flows” (including Accident & Incident Reporting, Expense Claims and Trips & Visits) that replaced paper routes and manual approvals. The solution cut processing times (Trips & Visits saved 1,665 hours, Student Update Forms 1,325 hours, Task Risk Assessments 620 hours, Expense Claims 402 hours, Accident reporting 320 hours), enabled same-day completion for many approvals, delivered real-time reporting via Power BI and KPIs, and produced measurable cost/time savings and cultural improvements across the College.
