St. Thomas Aquinas Roman Catholic Separate School Division (STAR Catholic Schools) is a K–12 district in Leduc, Alberta serving over 4,000 students across 12 schools. Faced with diminishing storage for growing volumes of active and inactive paper records and slow, error-prone inter-office mail between dispersed sites, the division sought an electronic document management solution to move toward a paper‑minimized office and streamline approval workflows.

STAR implemented FileHold (integrated with Microsoft Office and Active Directory) on a Hyper-V/SQL Server platform, starting with finance AP/AR and expanding to central office and all schools. The system provided folder-level security, automated workflows, auditor web access and a public portal for procedures. As a result, paper generation and processing times were dramatically reduced (from weeks to about a week or less), audits were completed successfully via remote access, and workflow tracking eliminated bottlenecks and lost mail.
