Employment and Education Centre frees up one-third of file storage with FileHold

The Employment and Education Centre (EEC), a not-for-profit agency, faced significant challenges with physical document storage as its filing cabinets were at full capacity. Compounded by government regulations requiring them to retain files for seven years, they also lacked a system to track what documents they possessed or when they could be disposed of. To address this, the EEC partnered with vendor FileHold to implement its Electronic Document and Records Management System (EDRMS).

FileHold's solution was implemented in two phases: first, an inventory and reorganization of hardcopy files, and second, the installation of the EDRMS. This allowed the EEC to scan and electronically store two years' worth of files, immediately freeing up one-third of their storage space. The FileHold system now provides full-text search capabilities, secure access, and complete tracking for all records. The most significant measurable impact is the expectation that within five years, the entire main filing room will be freed as all remaining physical files exceed their retention dates and can be disposed of.
