Ordnance Survey, the government-owned national mapping agency for Great Britain, faced the significant challenge of electronically scanning and organizing over 1,800 historical staff records to comply with a government modernization directive. With limited space for physical files in their new premises, their HR department needed to upload each complex personnel file, which could contain up to 500 pages, into their HP Records Manager system, a manual process that was originally estimated to take 15 weeks to complete.

With the EzeScan capture solution, Ordnance Survey automated the entire process. EzeScan used existing employee data to create digital index cards and implemented a system using barcoded cover sheets to automatically file documents into the correct sections. This reduced the time to process each file from 20 minutes to just 40 seconds, resulting in massive time savings and improved security through controlled access and a full audit trail.
