Canton Municipal Court Protects Citizens from Identity Theft with ID Shield Advanced Redaction Software

Canton Municipal Court worked to provide secure online access to court records while complying with Ohio’s 2009 public records rules requiring the redaction of personal identifiers from case documents. As document volume grew to about 250,000 pages a year, the court needed a more efficient way to protect sensitive information such as Social Security numbers, tax IDs, bank account numbers, and credit card numbers. Extract Systems’ ID Shield Advanced Redaction Software was selected to address this challenge.

Extract Systems implemented ID Shield, which integrates with the court’s document management workflow and automatically detects more than 20 sensitive data types in unstructured documents. The court now scans and verifies documents within seconds to remove protected information before public release, reducing bottlenecks and supporting compliance. The solution has been installed in the Civil Division and is planned for expansion to the Criminal and Traffic Divisions, with the clerk reporting that the project exceeded expectations.
