Grandi Stazioni Rail Spa, which manages major Italian railway stations, needed a better way to handle a fast-growing archive of photos and technical documents tied to many projects and locations. Its existing folder-based approach made it difficult to organize assets, control access for internal teams and external partners, and support future integrations, so it turned to Extensis and Extensis Portfolio.

Extensis implemented Portfolio in 2018 with support from BG & Partners and PICO, adding automated file conversion, metadata-driven cataloging, Active Directory-based permissions, and later modules like NetPublish, Portfolio API, and Portfolio Media Engine. The result was a more flexible and reliable DAM system that improved file findability and sharing, reduced storage costs, time, and user error, and replaced manual exports with automated multi-resolution asset delivery.
