Engineering More Efficient Document Processes

Eaton Steel Bar Company, a long-established producer and distributor of cold-drawn and hot-rolled steel, needed to modernize its document processes as it moved to a VoIP phone system. The company faced slow, manual handling of purchase orders and specification sheets—purchasing agents had to print, collate, re-scan or fax documents—and Oracle’s native output couldn’t deliver the custom PO format and bundled attachments Eaton required.

Eaton migrated from Esker Fax for Notes to Esker DeliveryWare, integrating it with Oracle so a simple pop-up in the PO approval workflow generates an XML file that assembles and sends the PO and specs as a single email (PDFs) or fax (TIFFs). The result: near-elimination of manual assembly (tasks that once took 10–15 minutes or up to half a day), improved document quality, fewer vendor follow-ups, positive supplier feedback, and plans to expand automation to order confirmations and invoicing.
