Stein Mart, a national specialty retailer founded in 1977, operates 267 stores across 33 states with roughly 14,500 store and corporate employees. Facing a highly distributed workforce with limited onsite internet access, the company wanted to reduce hard costs (paper, ink, postage, computer usage) and soft costs (payroll season workload) while improving service and employee satisfaction by moving to electronic W-2 delivery.
Stein Mart introduced the Equifax electronic W-2, building on its existing Paperless Pay system and promoting adoption through in-store campaigns, manager incentives, onboarding offers, and contests emphasizing convenience and security. Consent climbed from 14.7% in 2007 to 29.8% in 2009 (corporate consent ~75%), and of about 19,000 W-2s processed that year roughly 5,700 were delivered online, cutting paper-related expenses and reducing HR reprint workload (2.8% reprint rate, 76% of which were handled entirely online).
