YMCA Greater Brandywine, which serves 3,700 children and 2,700 families across eight branches, struggled with slow, paper-based registration: duplicate forms for multiple programs, illegible or outdated medical information, missing paperwork, and hours of staff time spent chasing parents. To fix this, they partnered with ePACT Network and implemented ePACT’s secure online record and consent platform to replace manual processes.
Using ePACT Network’s centralized, HIPAA-compliant system and admin app, the YMCA consolidated medical forms and waivers, let families complete one record to share across programs, and tracked outstanding submissions with real-time updates. The change saved 1,760 administration hours over one summer, improved data accuracy and accessibility for offsite staff, streamlined reporting (e.g., pick-up lists, medical alerts), and prompted the YMCA to expand ePACT Network to additional programs.
