Improving Information Management With ePACT

The YMCA of Greater Vancouver supports 115,000 children, youth and adults across 185 locations and was struggling to manage paper emergency, medical and dietary forms, waivers and consents for large camp programs (one site alone hosts about 400 campers per week). Their online registration system didn’t capture required detail or allow easy searching for medical conditions, leading to frustrated parents, inaccessible records, late submissions and out‑of‑date information. To address this, the YMCA of Greater Vancouver engaged ePACT Network to modernize its information management.

ePACT Network implemented customized ePACT online forms, a dashboard and mobile app, trained camp coordinators, and ran a successful pilot before rolling the solution out to all summer camps. As a result, parents enter information once and share it across programs, staff can generate reports instead of sorting hundreds of paper forms, kitchen and medical teams receive critical details ahead of time, and coordinators access records offline in emergencies—significantly reducing administration time and improving data accuracy and the camp experience.
