Texas State University Improves Energy Data Collection and Sharing for Actual Use Invoicing

Texas State University, the largest school in the Texas State University System with over 34,000 students and 202 buildings (1,044 account-meters), faced a legacy utilities accounting system that was data-entry intensive, produced limited building-level detail, and required manual, error-prone reporting. The university needed a tool that would support actual-use invoicing, integrate electronically with its accounts payable system, and interface with energy management/submetering systems—needs that led TxState to select EnergyCAP energy management software.

EnergyCAP was implemented to consolidate four years of utility data, organize accounts by fund centers and meters, and provide an AP reformatter to export bills in the exact format required by the university’s accounting system. The EnergyCAP deployment eliminated double data entry, reallocated 40 working hours per month, reduced report generation from days to seconds, and uncovered inactive-meter charges that saved $15,000 plus $5,000 from billing-rate adjustments. Integration with utiliVisor and planned submeter additions (≈1,000 meters) support future actual-use invoicing and ongoing benchmarking; EnergyCAP now supports 24 users with automated audits and a goal to import 90% of invoices.
