A Big 4 accounting firm with 4,500 employees at its New York headquarters—spanning 30 floors—needed to understand how its space was actually being used. Existing booking software let employees reserve hoteling desks but offered no visibility into whether those reservations were used, leaving the firm unsure how much space was forgotten, abandoned, or held as contingency.
After implementing EMS Software’s check-in and reporting tools, the firm compared bookings to real attendance and found only 49% of assigned offices in use and 67% utilization of hoteling space, leaving 1,665 workspaces vacant daily. With this insight it vacated six floors and sublet three (saving $85M over five years), reduced real estate from the firm’s second- to third-largest expense, and—by expanding EMS across its 695 offices and 21 million sq. ft.—expects roughly $36M in annual real estate savings.
