A university housing office responsible for thousands of student housing assets across more than two dozen buildings struggled with a manual mix of paper tickets and spreadsheets that made tracking maintenance history, forecasting asset life cycles, and rolling out preventive maintenance impractical. The team needed a customizable CMMS that would integrate with their Star Rez housing system, provide detailed asset tracking, and streamline work order management.

They implemented eMaint CMMS in 2016, importing 5,885 rooms and associated assets and integrating Star Rez work requests into a rolling campus rollout completed in early 2018. The solution enabled mobile work orders and automated student notifications, sped up processing of roughly 1,000 work orders per month with typical 24–48 hour turnarounds, and delivered fast ad hoc reporting and lifecycle forecasting through customizable workflows—improving maintenance efficiency, budgeting, and predictive replacement planning.
