A ELMA365 Case Study
Kirov State Medical University, a large scientific and medical center in the Kirov region with 270 users across clinics, labs and more, faced slow, paper-heavy and complex document routes and manual registers that hindered timely decision-making. To modernize records and workflows the university selected ELMA (ELMA365) and its BPM/electronic document and process management solution, and began deployment in 2015–2016 to replace paper registers and simplify access for non-technical staff.
ELMA365 was configured by a small internal team to provide electronic document storage, centralized registration, role-based access, the “Register Document” and high-use “Acquaintance” processes, ELMA Agent for server editing and scanning, and automated reporting. Within 1.5 years the university processed over 5,000 incoming and 5,000 outgoing documents plus 8,000 memos, reduced document routing time from more than a day to under a minute, and showed strong user adoption (73% positive, 69% daily users); survey results also reported reduced search time (41%), less paper use (35%), increased control (50%) and fewer overdue documents (46%) after implementing ELMA365.
