Kunsthistorisches Museum Wien, one of Austria’s largest and most visited museums, was struggling with a slow, manual incoming-invoice process. Around 12,000 invoices a year had to be copied, circulated to roughly 300 people, and approved across multiple departments, creating long throughput times and making it difficult to track where each invoice was in the approval chain. The museum turned to Easy Software for a more efficient and compliant document management approach.

Easy Software implemented EASY INVOICE to scan, log, release, and archive incoming invoices, with release workflows set up once to account for vacation and stand-in arrangements. Integrated with Microsoft Dynamics NAV, the solution made invoice data available directly in the accounting system and allowed users to view documents from within their familiar NAV client. As a result, invoice status became fully transparent through a cockpit, all steps were logged and archived, and the museum improved processing speed, payment compliance, and user acceptance.
