Talgo, the railroad vehicle manufacturer’s German subsidiary, needed a better way to manage the flood of maintenance, repair, invoice, and compliance documents created in daily workshop operations. Its paper-based filing system was too rigid and made it difficult to find records quickly, especially for audits, historical searches, and order-related documentation. To solve this, Talgo turned to EASY Software and the EASY Archive solution, with compatibility for Microsoft, SAP, and IBM Maximo as a key requirement.

EASY Software implemented a centralized digital archive connected to IBM Maximo and Talgo’s ERP system via EBIS, allowing documents to be scanned, indexed with barcodes and metadata, and retrieved directly from business systems. The result was faster access to order documents, greater transparency, quicker spare-part reordering, and improved efficiency in maintenance work; invoice processing time was cut in half. Talgo now manages around 19,000 debtor documents, 48,000 creditor documents, and 200,000 order slips in the archive, and continues expanding toward a more paper-free operation.
