Case Study: Gewobag achieves efficient digital contract management with EASY Software

The housing association Gewobag keeps reliable track of rental agreements and group contracts

Gewobag, one of Germany’s largest municipal housing associations, needed a better way to manage a growing volume of rental and group-wide contracts across more than 70,000 apartments and commercial units. The company wanted faster access to reliable, up-to-date contract data, fewer manual errors, and a more transparent way to handle operating-cost-relevant agreements and other service contracts. EASY Software provided EASY PCM Real Estate File and EASY PCM Contract Management, integrated with SAP RE/FX.

EASY Software implemented a digital contract management solution that centralized more than 4,000 group contracts and around 3,500 operating-cost-relevant contracts, with workflows for renewals, notice periods, and controls. As a result, Gewobag gained quicker access to documents, reduced transcription and allocation errors, improved reporting, and more proactive contract negotiations. The system also replaced time-consuming Excel-based evaluation and made contract information available via a central web interface.
