The gkd-el, the municipal data center for the city of Gelsenkirchen, needed to modernize document management and archiving across a large and complex city administration. To support digitalization, legal compliance, and more flexible work, it partnered with Easy Software and its EASY product family, including EASY Archive, EASY DMS, and EASY4SAP, to replace paper-heavy processes with secure electronic file handling.

Easy Software implemented integrated e-file and archiving solutions for multiple departments, including tax files, social services, and human resources, with SAP-connected workflows and role-based access controls. The result was a legally compliant, audit-proof system that digitized millions of records, eliminated paper files in key areas, improved search and access to documents, and laid the groundwork for a standard e-file and administration-wide DMS rollout.
