EASY SOFTWARE implemented a contract management solution at Karl Franzens University Graz

Karl-Franzens-Universität Graz, one of Austria’s largest universities, needed to replace decentralized, department-by-department contract handling with a centralized approach. The university wanted better contract searchability, structured filing, automatic deadline monitoring, and tighter integration with its long-standing SAP environment. Easy Software provided the EASY nextPCM Contract Management solution.

Easy Software implemented a centralized electronic contract file integrated with SAP NetWeaver Folders Management, allowing contracts, metadata, e-mails, Office files, scans, and SAP-linked data to be stored and accessed in one place. The solution introduced customized contract types, deadline reminders, reporting, and a process-based approval flow through the central registrar. The university has since captured more than 2,500 contracts and improved transparency, access control for 60+ users, and deadline compliance, helping eliminate information islands and streamline contract management.
