The University of Wollongong – Centralising information and streamlining contractor management

The University of Wollongong (UOW) needed to centralise contractor Work Health & Safety (WHS) information and automate monitoring of contractor insurances and licences across nine campuses. Previously a manual, paper-based process left oversight fragmented and inconsistent induction training varied by site. UOW required an Australian-based vendor that could provide daily support, a UOW-branded portal, strong contractor compliance and online training, configurable features, and cost-effective setup — needs that led them to select e3Learning and its SitePass contractor management solution.

e3Learning implemented SitePass with a UOW-branded portal where contractors self-register, upload licences and qualifications for verification, and receive UOW-branded induction cards with QR codes for easy site sign-in. e3Learning also developed two custom online induction courses (automatically assigned) plus configurable modules, custom notifications, a WHS questionnaire and external training tracking. The system now gives UOW centralised oversight across all campuses, is used by 61 contracting companies and 179 individual users, improved compliance and consistency, overcame initial user resistance, and has driven further SitePass enhancements based on UOW feedback.
