Valencia College, a nationally recognized community college in Central Florida, needed to replace longstanding paper-based HR processes when campus closures in 2020 made in-person workflows impossible. Annual contract renewals, asset checkouts and a legally required loyalty oath that needed notarization created bottlenecks and a backlog of roughly 700 notarizations, forcing HR to find a fast, trusted digital solution.
Valencia implemented DocuSign eSignature and DocuSign Notary to create automated workflows and remote online notarization. The team electronically signed and uploaded 600+ faculty contracts into Ellucian Banner, notarized ~700 documents remotely via webcam, automated offboarding, reduced time, costs and paperwork, and improved the experience for HR staff and employees while creating a secure digital audit trail.
