Forsyth County Sheriff’s Office faced mounting filing, storage, and retrieval burdens because North Carolina law requires permanent retention and immediate access to law‑enforcement records for thousands of inmates and incidents. Managing records for a large county force (631 staff responding to tens of thousands of calls and events) strained staffing and physical space, so the agency sought a document management solution and selected DocuPhase, purchasing the DocuPhase solution with the ScanDox application.

DocuPhase implemented an electronic document management system with ScanDox and iLink integration to SunGard, warehousing physical files offsite while providing immediate electronic access, richer indexing, and field access for 125 patrol officers. The system now supports records for 12,126 bookings, 11,145 charges and 5,165 arrests, has almost eliminated prior storage/retrieval issues, sped up searches and workflows, and enabled plans to extend DocuPhase access to Administration and the District Attorney’s Office.
