Smart software transforms usefulness of important archives at Oregon Professional Liability Fund

Oregon Professional Liability Fund, the state’s mandatory malpractice insurer for about 7,400 private-practice lawyers, struggled with an increasingly paper‑intensive operation that produced roughly 150 bankers boxes of files a year. Important archives were hard to search and often stored off‑site, requiring staff with specialized knowledge to retrieve documents and leaving valuable information largely untapped.

In August 2008 the Fund deployed Document Locator with ColumbiaSoft’s help—scanning, email management, workflow and web access tied into existing Microsoft tools—to create a searchable electronic archive. The system made documents instantly accessible with minimal training, increased cross‑department collaboration, cut onsite storage from six filing cabinets to one drawer (about a 90% reduction), is expected to free roughly 2,000 sq ft, and delivered measurable time and cost savings.
