Engineering for Professionals (EP), a highly ranked part‑time graduate program at a major East Coast research facility and university, was managing roughly 1,200 instructor contracts each year on paper. The tri‑annual process required printing, mailing and manually reconciling hundreds of documents, consuming about 370 staff hours annually, incurring postage and printing costs, and risking delays or lost mail.
EP implemented Document Locator with a custom interface so instructors receive appointment letters online and can approve or deny them via a secure PDF link, instantly updating central records. The change reclaimed five to six workweeks a year (370 hours), cut postage costs by $1,100 annually, reduced printing by 80–90%, eliminated mail delays, and positioned the program to expand electronic contract management to other appointment types.
