Aventine Renewable Energy, a leading U.S. ethanol producer, was struggling with more than 200,000 PDF invoices generated from its Oracle ERP that were filed only by date, forcing staff to manually search large folders to retrieve documents. IT was asked to find a flexible, SQL-based, web-enabled, easy-to-maintain solution that could import multiple file types and provide full-text search without re-scanning — requirements many vendors could not meet.

Aventine implemented Document Locator, which converted existing PDFs into full-text searchable records, integrated with Oracle, and eliminated the need for third-party vendors to locate invoices. Retrieval times dropped from minutes to seconds, security and Sarbanes-Oxley compliance improved, and the system’s use continues to expand (including plans to give customers secure web access to invoices).
