American Senior Communities, based in Indianapolis, operates 91 senior living communities and was processing more than 155,000 invoices a year. Their Accounts Payable team struggled with poor visibility, lost or late paper invoices, miscoding at the facility level, and too many manual touches before documents reached imaging. They engaged DataServ to deliver its Digital Mailroom and SaaS-based OCR Invoice Processing Machine™ to capture, host and route invoices.

DataServ implemented a hosted capture and automated workflow—scanning invoices sent by mail, email or fax, extracting data with OCR, applying default coding, routing approvals and posting approved invoices to Great Plains—along with analytics, retention management and training. The solution scaled from a 6-site pilot to all 91 locations in three months (half the planned time) with no downtime; approvals and ERP postings accelerated, processing errors and late fees were reduced, and American Senior Communities gained early visibility and responsive support from DataServ’s client success team.
