Crane Merchandising Systems, a global leader in vending equipment and payment solutions, faced an obsolete document management system and needed a modern accounts receivable (AR) scanning, indexing and hosting solution. After evaluating alternatives, Crane selected DataServ’s ECM solution—including its Automated Order Processing, SaaS OCR and Digital Mailroom services—to replace the legacy system and support AR document capture and workflow.

DataServ implemented a comprehensive ECM system configured for 20 users (mix of View and Edit licenses), added enhancements such as batch print, desktop faxing and a simpler user interface, and established view-only and annotation security groups. DataServ also provided onsite, role-based training, ongoing no-cost support and full documentation. The result: more efficient organization and storage of AR invoices and memos, elimination of much manual order entry by converting incoming orders into clean, ERP-ready data, and a smooth migration to the new DataServ platform.
