Enterprise Content Management Helps an American Utility Organization to Centralize Records

Leading Utility Organization, America’s largest municipally owned energy utility, faced an unmanaged surge of digital content—more than 1,700 record categories, thousands of shared drives and email sources, and no organizational taxonomy or automated retention policies. They engaged Datamatics to extend records management on their existing IBM FileNet platform using IBM Enterprise Records and related tools to centralize and govern content across the enterprise.

Datamatics developed configurable utilities to bulk-create 1,700+ file plans in IBM Enterprise Records from Excel, authored a Records Management Taxonomy, implemented bulk-declare via IBM Teamspace, deployed IBM Content Collector for Exchange mail ingestion, mapped content from 3,200+ shared drives, and upgraded Development/Quality/Production FileNet environments (11 servers each). As a result, Datamatics centralized consistent retention policies, brought legacy documentation under compliance, reduced administrative costs and business risk, and delivered a modernized IBM Enterprise Records/FileNet platform that manages records from creation to disposal.
