HCR ManorCare, a large U.S. provider of post-acute, long-term care, rehabilitation, memory care, hospice, and home health services, needed to launch a brand-new P-Card program with no prior experience. The organization also faced the challenge of supporting a highly dispersed user base and complex coding requirements, including self-service access to its chart of accounts. DATABASICS Expense was the product used to help meet these needs.

DATABASICS configured a separate P-Card report type to isolate P-Card processing from expense reporting, mapped chart of accounts codes to P-Card report types, restricted related coding to valid combinations, and added audit and upload capabilities for accruals and transaction posting. The result was a smoother P-Card ecosystem with single sign-on, reduced invoice processing costs, better vendor relations, and improved spend visibility for managers. HCR ManorCare also recommended early IT involvement, pilot testing, and online/video training to support rollout success.
