Kansas City Board of Public Utilities - Customer Case Study

Kansas City Board of Public Utilities (KCBPU) needed to modernize a manual accounts payable process that was built for a much smaller invoice volume. As a large public utility serving more than 157,000 residents across multiple locations, KCBPU struggled with delayed visibility, duplicate invoices, missed payments, and high microfilm storage costs. DataBank IMX helped address these issues with an invoice processing solution using Hyland OnBase, Datacap Taskmaster, Fujitsu scanners, and PeopleSoft ERP.

DataBank IMX implemented the capture and workflow solution to automate invoice matching, duplicate detection, approval routing, and digital archiving. The result was faster processing of 75-100 invoices per day, better AP visibility for departments, fewer duplicate and late payments, and a significant reduction in manual scanning and microfilm work. KCBPU also improved retrieval and tracking, helping reduce follow-up calls and making accounting operations more efficient.
