Totemic Central Services LTD, part of the Totemic Group and behind the PayPlan debt management service, needed to process 800–1,500 pieces of incoming creditor and client correspondence each day without risking backlogs or data errors. Working with Data Capture Solutions, the company set out to extend its existing Kofax scanning environment into a more automated correspondence processing workflow that could accurately match mail to clients, creditors, and accounts.

Data Capture Solutions configured and customized the Kofax Capture/KTM/VRS platform to perform multi-axial lookups, present matched data for quick validation, and dynamically route documents to the right back-office process. The solution now validates correspondence in seconds, handles around 2 documents per minute per operator, reduced backlog risk, eliminated the need to offshore parts of the work, and was expected to recoup its cost within 11 months.
