Securitas, a security services provider, faced a growing HR records management challenge after two acquisitions left it with a large number of paper files. To address the added urgency of a planned shared services closure, Data Capture Solutions (DCS) helped them electronicise 14,000 HR files and make the records securely accessible to HR staff through a hosted software service.

Data Capture Solutions implemented a secure outsourced scanning and document classification solution using Kofax technology to convert paper HR files into digital records. The files were stored in DCS’s FileStore document management system, enabling searchable access by employee number and other details, improved security for authorised users only, and reduced office space and storage costs while supporting online creation of new HR files.
