Case Study: NHS SBS achieves faster GP registration form processing with Data Capture Solutions

NHS SBS, a joint venture providing back office and business support services to more than 40% of the NHS, needed a faster way to process GP registration questionnaires. Its manual workflow required staff to separate forms with changed details from those marked “all correct,” then key or confirm each record one by one, with unpredictable effort due to varying legibility. Data Capture Solutions (DCS) helped address this challenge with an in-house forms processing approach.

Data Capture Solutions (DCS) implemented an IM75 mail opening machine, two Fujitsu fi-6670 A3 scanners, and Kofax software to automate scanning and validation, with output sent as CSV files into NHS SBS’s Access data system. NHS SBS also phased in barcoded forms to improve recognition and speed. The result was around 600,000 forms processed annually, reduced physical handling and error risk, and significant staff time saved from manual keying.
