New Look, the international fashion retailer with 650 UK stores, needed a better way to manage employee records that were being stored separately at each branch. This made HR files hard to audit, search and keep compliant. Data Capture Solutions (DCS) was brought in to provide a centralised HR document management solution using its FileStore platform and outsourced scanning services.

DCS scanned and backfiled more than 18,000 employee files into FileStore, then set up day-forward scanning and bulk upload options so HR could manage records centrally and securely. The result was complete visibility of employee documents across all UK stores, faster access to HR information, easier compliance with data protection requirements, and less manual administration. New Look also reported improved space usage and a more future-proof system that could adapt as the business changed.
