ExxonMobil, one of the world’s largest publicly traded companies, needed a better way to centralise the receipt and processing of supplier invoices across multiple European countries. The finance team wanted faster approvals, better visibility, lower processing costs, and a convenient way to retrieve and view purchase invoices across different ERP systems and regions. Data Capture Solutions (DCS) was selected to help with this invoice processing challenge using its outsourced receipt and scanning service alongside the hosted FileStore platform.

Data Capture Solutions implemented a PO Box-based receipt service for paper invoices, plus processing for emailed PDF/TIF invoices, with data capture via Kofax Capture and Virtual Re-Scan and integration into SAP and FileStore. Within 24 hours, digitised invoices were available to ExxonMobil staff worldwide for approval and processing, while non-invoice documents were scanned separately and handled appropriately. The result was a secure, scalable global solution that reduced manual handling, improved visibility end to end, tightened response times, and lowered archiving and processing costs.
