A private education company needed a simple, reliable e-procurement system to replace an aging platform and get decentralized spending at its individual colleges and schools under control. Schools had to order correct textbooks (by ISBN) and heavy promotional/stationery items in time for each semester while managing many GL accounts and thousands of suppliers, so ease of use, accurate catalogs and timely delivery were key challenges.

The company implemented Coupa eProcurement with full Great Plains and EDI integration in two months, enabling purchasing to upload and maintain catalogs, use a punchout supplier for configurable school-branded items, default GP GL accounts to requisition lines, and synchronize approved invoices and payments. The rollout eliminated the need for weekly training, streamlined ordering and AP visibility, and now supports 570 users, 20,850 GL accounts and 2,500 suppliers with improved financial control and on-time delivery.
