A Collective Data Case Study
Calcasieu Parish Sheriff’s Office (CPSO) in Lake Charles, LA — a law enforcement agency with roughly 800–900 deputies (1,000+ when fully staffed), 5,800+ assets, 20,000+ inventory items and three warehouses — needed a reliable system to stock, track, charge and issue routine supplies (uniforms, batteries, paper, etc.). Without a centralized inventory solution they were generating excessive purchase orders, lacked visibility into on‑hand stock and could not efficiently manage returns, chargebacks or expiration/forecasting for protective gear.
After evaluating several platforms, CPSO selected Collective Data, which was customized to integrate selected GL accounts, add warehouse-specific fields (like discard date), create bespoke drop-downs and tailor reports for monthly reconciliations. The implementation delivered full inventory visibility across three warehouses, automated reorder alerts, streamlined request/approval and issuing workflows, improved auditing and expiration forecasting, and reduced the volume of daily POs while supporting 1,000+ officers with accurate asset and inventory management.
