Fox Valley Park District Stays in Step with their Community

Fox Valley Park District, serving 233,000 constituents across parts of four counties in Illinois, needed a flexible way to keep its community connected during COVID-19 while managing a complex billing environment for fitness centers and programs. Working with Clubessential Holdings through Vermont Systems’ RecTrac platform, the district had to pause billing, communicate clearly with patrons, and adjust to changing reopening conditions without losing trust.

Clubessential Holdings helped Fox Valley Park District use RecTrac to hold EFT billing for unscanned members, resume charges when patrons returned, and manually manage exceptions during the reopening period. The approach let the district avoid billing for unused services and earned overwhelmingly positive feedback from the community, while also giving staff a path toward further automation for refunds and daily cash drawer closeouts to reduce manual paperwork and improve efficiency.
