Innovative Workspace Management System for The Royal Borough of Kensington and Chelsea Council

RBKC (The Royal Borough of Kensington and Chelsea) faced growing headcount pressures and needed to understand real workspace usage while delivering a seamless, low-touch experience for staff. After investing in PIR desk sensors and seeking NFC authentication and an “Unconscious Effort” user journey, RBKC selected Cloudbooking — using services such as the CBScreen app, digital room displays, kiosks, mobile/online booking and a passive RFID desk check-in — to provide a fast, easy-to-use interface.

Cloudbooking implemented live availability displays, multi-channel booking (desktop, mobile, kiosks), CBScreen to reduce no-shows, and an industry-first passive RFID laptop tag for automatic desk check-in. The solution increased meeting room availability by 46% (adding 27 equivalent spaces), freed 4,500 meeting hours in an 8-room pilot (34,000 hours building-wide), and delivered an estimated £2m saving in external space—while driving strong user adoption (475 pilot users) and a major uplift in satisfaction after three months.
