Case Study: Roskilde Festival achieves streamlined backstage beverage operations with Claris

Making a week-long music celebration even more fun and easily managed with custom apps built using the FileMaker Platform

Roskilde Festival is one of Europe’s largest music festivals, and VEGA runs the Backstage Village bars that serve artists, media, and crews. Managing huge volumes of drinks and reconciling consumption had become cumbersome: aging PDAs were unreliable, there was no backend connectivity, and staff spent hours manually transferring usage into spreadsheets to generate invoices, manage inventory, and settle staff consumption.

DataManix built a custom FileMaker iPad app with RFID-enabled terminals, debit/credit card charging, barcode/scale inventory capture, and a backend FileMaker server integrated with VEGA’s accounting system. The system works offline, delivers high performance with no downtime, automates order fulfillment and invoicing, and cut bottle-counting from about three hours a day to roughly 15 minutes—resulting in faster service, accurate accounting, and expanded event-management capabilities.
