Our School eliminates a week of data entry with CiviCRM

The customer, our school, faced a significant data entry burden from its annual fundraising phonathon, which relied on printed call sheets and handwritten notes. This process created a week of administrative work to manually input call results and donations into its database. To solve this, the school worked with vendor CiviCRM and utilized its CiviReport tool alongside the Webform CiviCRM extension.

The solution implemented by CiviCRM involved creating custom reports for call sheets and a webform for volunteers to log call outcomes and update contact information. A small custom module acted as a secure bridge for volunteers to access these forms without needing CiviCRM permissions. This streamlined the entire process, eliminating all manual data entry. As a result, the school now collects more information with less work, can easily follow up on pledges via CiviMail, and has a foundation for a future paperless system.
